Discovery

Discovery Meeting

Principal Simone Woodard will meet with you to find out about your event needs, goals and objectives. We will focus on the purpose of the event and gathering information such as target markets. We will talk about what level of support your event requires, such as whether Avid Events will be providing full marketing support and site crews. This stage may involve a site visit if practical.

Proposal

Event Proposal

Avid Events will prepare an event proposal with details of all aspects of the event and event support that will be provided. This will be accompanied by a budget. The proposal is forwarded to the client for acceptance.

Design

Development and Design

Once our proposal has been accepted, Avid Events will put together the perfect team for your event, commence site design and fully plan out all other aspects including marketing communications support, branding and staffing as required.

We will look after booking of entertainers and speakers, hire of staging equipment, design of site dressing and all the fine details that will make your event special.

Avid Events will also take care of compliance including council applications and risk management plans and liaison with stakeholders, sponsors and internal client teams as required.

We will, of course, keep you 100% up to date on your event development with regular progress reports.

Staging

Event Management

At your event, Avid Events will oversee all event operations, ensuring a clear line of reporting and management.

We will be first on site and the last to leave, taking full responsibility for ensuring a successful outcome.

Reporting

Reporting and Reconciliation

After the event, Avid Events will manage all supplier and entertainer payments and reconcile the budget.

  • We’ll prepare a comprehensive event report, which may include market research or public relations outcomes if relevant.
  • We will measure the event deliverables against the client goals or key performance indicators documented in the proposal, and provide a full report to you.
  • We can even present the outcomes to your stakeholders such as board members, senior staff or funding partners.
